Plan the Perfect GameTruck Event

Whether it's a birthday party, corporate event, or a private celebration, a little planning goes a long way. These tips will help you get the most out of your GameTruck experience — from booking to party day.

1. Book 4–6 Weeks Ahead

Saturdays are our busiest days, especially during peak birthday season (spring and fall). Booking early ensures you get the date and time you want. Holiday weekends and end-of-school-year dates can fill 2–3 months out. Need something last-minute? Check availability online — openings do happen.

2. Get an Accurate Headcount

Most GameTruck trailers hold 16–24 players at a time and longer events can entertain 50+ guests per hour with structured rotations. Laser tag works with groups of 8–24 per match. A reliable guest count helps your local operator recommend the right setup — whether that's a single unit or a multi-activity combo.

3. Choose the Right Activities

Think about your audience. Video game parties are our most popular — they're climate-controlled and work rain or shine. Outdoor adventures like GelTag, foam parties, and WaterTag are perfect for warm-weather celebrations. Hosting indoors? @HOME brings gaming directly to your space.

4. Consider Your Timing

Weekday events are typically easier to book and may cost less than peak weekend slots. Saturday afternoons are the most popular — especially the 1:00–4:00 PM window for birthday parties. For younger kids (ages 6–8), earlier start times (10:00 AM–1:00 PM) work best before energy fades. Teen and adult events often work well in the evening, with some operators offering slots as late as 8:00 PM.

Most parties last 2 hours, which gives every guest plenty of play time. If you're combining activities — say, video games plus laser tag — a 3-hour block keeps things relaxed and avoids rushing between rotations. Your local operator can walk you through available time slots and any pricing differences between weekday and weekend bookings.

5. Make Sure There's Space

Our mobile gaming theater needs about 60 feet of straight, level space — roughly the footprint of a standard moving truck. The trailer includes its own generator, so you don't need an outdoor outlet or extension cords.

Street parking usually works with a permit or neighbor coordination. Cul-de-sacs are can work, provided we have enough room to make a full turn. Parks, school parking lots, and community center lots are popular alternatives — especially for larger events. Outdoor activities like laser tag, GelTag, and WaterTag need an open area roughly the size of a backyard (about 40 × 60 feet). Foam parties work in any open outdoor space. For indoor-only venues or apartments without outdoor access, @HOME brings consoles and screens directly inside.

6. Know What to Expect on Party Day

Your certified GameCoach will arrive about 15-30 minutes before start time. They'll show up early — to set up and power on all equipment. When everything's ready, they'll walk you through the trailer, confirm game selections, and review your event timeline.

From there, the GameCoach runs everything. They greet guests, explain game controls, organize multiplayer matches, and manage player rotations so everyone gets equal time. For outdoor activities, they brief players on rules, distribute equipment, and referee matches. The GameCoach keeps the energy high and handles any issues — you don't lift a finger. When your event wraps up, the GameCoach powers down, packs all equipment, and drives away. No setup. No cleanup. No leftover mess.

7. Relax and Enjoy the Party

This is the most important tip. GameTruck is fully self-contained — power, entertainment, staffing, and cleanup are all included. The GameCoach hosts the entire event from start to finish. You don't need to organize games, manage turns, troubleshoot equipment, or entertain anyone.

You're free to mingle with other parents, take photos, set up a snack table, or just sit back and watch your kids have the time of their lives. That's the whole point — we handle the party so you don't have to. After 375,000+ events, we've got the process down. Your only job is to enjoy it.
